Vacancy Description

There is an exciting opportunity available for a candidate who is passionate about completing a HR qualification and gaining relevant, invaluable work experience as well. The post holder will also administer day to day operational processes for the recruitment and appointment of medical staff internally, externally and with third parties including rotational appointments through Health Education England.

The Medical Workforce Coordinator Apprentice will provide administrative support to the Head of Medical Workforce and the Medical Workforce team with medical appraisal and re-validation, job planning, junior doctors’ exception reporting, Clinical Excellence Awards, honorary contracts and medical recruitment.

The post holder will also administer day to day operational processes for the recruitment and appointment of medical staff internally, externally and with third parties including rotational appointments through Health Education England.


  • Support the recruitment and appointment process for medical staff in line with NHS and Trust requirements, best practice and employment legislation
  • To oversee Honorary contract applications and issue contracts to company standards
  • To assist with payroll on a monthly basis.
  • To undertake appropriate pre-employment checks as required, processing all documentation required for Health Clearance, Disclosure and Barring Service, Professional Registration and Declaration forms in line with Trust policy and protocols. To notify appropriate personnel at all levels within the Trust, where clearances are not obtained
  • To produce accurate Offers of Employment at the earliest opportunity and Contracts of Employments within the legal time frame
  • To obtain confirmation of salary and previous service via Inter Authority Transfer (IAT)
  • To update the department’s databases on a regular basis
  • To be the first point of contact within the Medical Workforce team to assist and deal with all relevant telephone queries and visitors to the department in respect of Medical Workforce issues
  • To provide first line advice and support to managers and staff dealing with a range of HR queries such as salary queries relating to the terms and conditions of service for medical staff
  • To be aware of the Statutory appointment processes for Consultant medical staff

Medical appraisal and re validation

  • To provide administrative support to Medical Appraisal, 360 feedback and re validation
  • To assist with doctors’ appraisal documentation prior to their annual appraisal and re validation, ensuring all relevant supporting information has been included
  • To respond to queries and provide advice on the requirements and processes relating to appraisal and re validation
  • To maintain accurate databases for re validation ensuring new starters are added, leavers removed and appraisal records updated
  • To regularly update the Trust consultant email address list

Consultant Job Planning

  • To support consultants entering job plans on the e-job planning system
  • Support the annual consultant job-planning round and prepare and disseminate communications, as appropriate

Clinical Excellence Awards

  • Support the Head of Medical Workforce in the administration of the annual local and national Clinical Excellence Awards and all associated paperwork

Exception Reporting

  • Ensure Educational Supervisors are aware of exception reports submitted by their trainees and are promptly resolved
  • To maintain knowledge and keep abreast of key medical staffing terms and conditions of service, initiatives and national policies including the 2016 Junior Doctor contract, New Deal and European Working Time requirements

Other duties

  • Plan and organise own work assessing priorities on a day to day basis and planning ahead to meet ongoing schedule of strict deadlines
  • Maintain high standards of confidentiality at all times in line with Departmental protocols for the transfer of data by email, post and verbal communications
  • Identifies and takes personal responsibility for maintaining and developing (professional) knowledge and expertise, agreeing and working towards the achievement of a Personal Development Plan
  • All staff in the HROD Directorate are expected to continually strive for service improvement to support the highest quality patient care and the Trust’s business objectives
  • Actively seeks cost reduction opportunities in all areas
  • Any other duties may be required from time to time, which are consistent with the grade and nature of the post


  • The post holder has personal responsibility for safety as outlined in the Trust’s safety policy and the Health and Safety at Work Act 1974
  • To carry out any other duties within the scope of this post as required
  • Liaise with other Trusts to share best practice and bench marking information

Qualifications Required: Minimum of 5 GCSEs A*-C including Maths and English
