Assistant Property Manager

JOB TITLE: Assistant Property Manager
REPORTING TO: Michael Yun

OFFICE HOURS: 09:00 – 18:00 Monday to Friday with 1 hour for lunch (plus evening meetings with our Clients as required)

1. You will be responsible as part of a team, for the successful management of our RMC portfolio.

2. To answer telephones and take messages.

3. To monitor emails of absentee property managers and refer to the relevant departments or senior personnel as appropriate.

4. To generally assist with managing and overseeing operations, maintenance, administration and improvement of residential properties within the team.

5. To ensure that you are meeting the Service Standards to our Clients at all times and no items are taking longer than is acceptable and/or reasonable. Where delays have occurred, to keep our Clients informed
of the reasons for delay and new anticipated completion date.

6. To regularly liaise and report to the property managers and ensure that their needs/targets are being met.

7. To assist the property managers in arranging and preparing documentation for Director Meetings, AGMs and resident surgeries, as per the terms of our contract.

8. To ensure fees are charged and collected for undertaking additional works outside of our contracted duties.

9. To assist with managing and supervising the provision of property services such as cleaning, gardening, security, etc.

10. To assist with managing and supervising on-site concierge and porterage staff in accordance with office policies and legislative requirements.

11. To instruct contractors with clear instructions on all routine repairs and maintenance, after consultation with the property managers.

12. To update the property websites as and when appropriate.

13. To ensure that all insurance claims are dealt with in accordance with office policies.

14. To assist with ensuring the satisfactory completion of major works projects in accordance with office policies and legislation.

15. To assist with preparing annual budgets in consultation with the property managers.

16. To respond to all telephone and written correspondence in accordance with Service Standards.

17. To liaise with the accounts department, where appropriate and directed by the property managers.

18. To use your best endeavors to assist other team members when required.

19. To report complaints to the Directors of Trust immediately upon receipt.

20. Other reasonable tasks as directed.
