Job Placement summary
The Gosport and Fareham Multi-Academy Trust (GFM) seek to offer paid internships for the role of
‘administration and office support’.
You will provide new office and administration support to the teams across the GFM schools and
buildings. Your placement will be at a specific site for the duration of your KICKSTART placement with
us, however you may be asked on occasion to travel between sites.
You will have a keen interest in developing your skills for working with people and be able over time
identify your specialist skills and develop a strong competence in a broad range of commonly used
office and administration tasks.

the first steps within a career of working within an office and administration environment for
During your 6 month placement with GFM you will join a school and/or site to develop your skills and
knowledge toward the next steps in your career pathway.
A typical day will consist of the following duties and developed responsibilities.
1. Manning of telephone switchboard and reception. Responsible for sending and receiving emails and
faxes as directed.
2. Dealing with day-to-day enquiries through switchboard or via reception, and ensuring messages are
forwarded to the appropriate member of staff via voicemail, email or in person.
3. Distribution of post around the school and offices throughout the school day.
4. Responsible for the franking of all post.
5. Responsible for distributing admin emails to the appropriate staff member.
6. Contacting parents/carers as directed
7. General administration and clerical work as required.
8. Maintaining of record files. Archiving records to record stores and electronic archives.
9. Dealing with visitors and offering hospitality.
10. Such other duties as may reasonably be allocated within the purview of the post by the

Essential skills, experience and
GCSE Passes in English and Math and/or equivalent level 1 and 2
Ability to demonstrate an amplitude toward associated
reception/telephone duties - as first contact of the organisation.
Be able to demonstrate a competence in using basic IT skills and
some knowledge of commonly used software for administration
such as word processors and spreadsheets.
