Finance Apprentice with Kingston Grammar School

Kingston Grammar School is looking for a dynamic, ambitious person, who has the desire to become a qualified accountant within 36 months. The successful candidate will be working within a small finance team of four, enabling exposure to the finance function. KGS will fund training with BPP to achieve the Level 7 (Masters Degree) Accountancy Taxation Professional apprentice, this will be through a mix of formal study as well as on the job training and mentoring from the Finance Manager and the wider team and school community. The primary responsibilities of this role are credit control, overseeing the sales ledger, billing, and dealing with both parental and staff queries.

Key Areas of Responsibility (with full training and support from the Finance Manager)

Credit Control

  • Chasing outstanding debt by email and phone from the aged debtors report
  • Issuing monthly statements and other credit control letters to ensure settlement of fees in a timely manner
  • Ensure all fee related queries are resolved within agreed department procedures
  • Dealing with ad hoc credit card payments and posting to the appropriate ledger
  • Maintaining & processing direct debit mandates in accordance with the direct debit guarantee and rules. As the process goes to paperless, exporting and upload of files on a weekly basis for new mandates and updating any changes using AUDDIS and WinBACS

Credit Control (Developmental Areas with training to support Apprenticeship)

 

  • Monitoring and developing reporting on the collection of outstanding fees, cash received and non-fee income in accordance with established procedures
  • Working with the Finance Manager to define and agree payment plans, where appropriate
  • Owning the periodic direct debit collections process and providing the Finance Manager with the relevant bank upload, supported by the reconciliation reports

Sales Ledger Management

 

  • Maintaining customer fee information including main school fees, bursaries, scholarships, school meals, pupil insurances and other extra charges
  • Allocation of ad-hoc charges to pupils such as trips, co-curricular clubs etc
  • Production and distribution of sales ledger invoices for lettings & other non-fee billing customers

Sales Ledger Management (Developmental Areas with training to support Apprenticeship)

 

  • Production and electronic distribution of termly fee bills for the whole school
  • Reconciliation and maintenance of deposits held for each pupil (spreadsheet & Sage), ensuring returned deposits are paid back to parents within the agreed timescales
  • Processing the collection of new parent deposits for the new intakes. Raising Sales Ledger invoices into Sage 200 for parent deposits
  • Working with the Finance Manager to close the Sales Ledger at the end of each month, including the month end reporting

Cashbook Management

 

  • Daily postings of the current account bank receipts including matching to invoices
  • Daily postings of purchase ledger direct debit payments

Cashbook Management (Developmental Areas with training to support Apprenticeship)

 

  • Learn how to perform daily current and BPA bank reconciliations and how to perform the month end closing for the management accounts

Other Areas of Development

 

  • Ordering and reconciling all foreign currency for school trips
  • Owning the school Barclaycard process, including reconciling, and posting the monthly statements
  • Creation and reconciliation of self-financing accounts, to cover school trips, projects etc, within the existing accounts structure in Sage 200
  • To provide additional assistance on other reasonable tasks as may be directed by the Finance Manager or Director of Finance and Operations.
  • To attend such courses and professional development as may be directed by the Finance Manager or Director of Finance and Operations to assist with the efficient discharge of duties

 

Hours of Work

This is a full-time position working Monday to Friday, 8am to 4pm, this is inclusive of a paid lunch break. 20% of the role will be dedicated to developing relevant knowledge, skills, and behaviours, this will be made up of formal tutor days, self-study, and activities within the organisation with colleagues, exact timings of this will be discussed and agreed as you progress through the course.

Qualifications Required:

  • GCSE English Language and Maths at grade 6 or equivalent qualifications
  • 2 A-Levels (or equivalent) Grade A-C
  • Bachelors degree at 2:2 or above or relevant accounting qualification (AAT) desirable
