Vacancy description:

We are looking for an Apprentice to assist with work streams that directly support the highest level of Herbalife Distributors in Europe & Africa, as well as tasks relating to the organisation/logistics for Distributor speakers at local Herbalife events. The Apprentice will report into the Supervisor for Distributor Leadership Communications and Support and assist the Supervisor for E&A Speaker Support.

The right person for this important role will be personable, highly organised, with excellent communication skills and the ability to multi-task and prioritise their workload during several busy periods throughout the year. An individual who is self-motivated but also responds well to direction, actively listens and is able to work unsupervised but also as part of a team, with a positive ‘can do’ attitude. This, along with a calm yet assertive personality and your attention to detail will really come into play during our Herbalife E&A events, which, although rewarding, can be fast paced, pressurised environments where you will be supporting a large group.

First class customer focus and professionalism is a must, as you will be required to interact regularly with the highest level of Herbalife Distributors, as well as colleagues at all levels within the organization.

Desired qualities, skills and knowledge:

  • Supporting with and/or co-ordinating flights via preferred travel agency for meetings and Member Speakers. Preparing internal budget (TAF) for approval and transport schedules. Co-ordinating travel and event itineraries with key information for Member Speakers at local E&A events.
  • Supporting with communications as required – in particular, joining instructions (e.g. agenda, dress codes, travel information) for meetings, vacations and Herbalife E&A events (Extravaganza, FPTR).
  • Scheduling audio and web-based calls – checking existing call calendars first and ensuring these are also updated as appropriate, to avoid any clashes.
  • Updating E&A major event calendar and worldwide event flyer, liaising with local teams to ensure these are correct.
  • Preparing Member Speaker/Panellist invitation letters for E&A events (Extravaganza and FPTR) and visa invitation letters as required.
  • Support with ensuring Member contact database is up to date, e-mail contact cards and photos. Collating and updating bio’s, photos and rider requests of requested Member Speakers.
  • Supporting Member reimbursement claims – preparing forms/communications and following up with Members as required. Submitting reimbursement claims to Accounts payable and requesting timescales for payment. Processing supplier invoices as necessary.
  • Supporting the Supervisor for Distributor Leadership Communications and Support and the Events team with on-site logistics at all meetings, E&A events and vacations (rooming lists, transport schedules, on-site communications, deliverables/giveaways, off-site dinners).
  • Potentially provide additional support with on-site logistics at Worldwide Events such as the Honors and FCCC Retreat (TBC).
  • Providing support with any ad-hoc project work as needed (collating information from local markets, conducting surveys, etc)

Desirable Skills:

  • IT literate with Good PC/MS Office skills
  • Experience of working with budgets and quotes/invoices would be beneficial

Desired Qualifications:

5 GCSE’s Grade A-C or equivalent including English and Maths

Working week: 37.5 (Monday-Friday 9am-530pm)

Salary: £16,000 per annum

To be eligible for a Government funded apprenticeship you must have lived in the UK or European Economic Area (EEA) for the last 3 consecutive years.
