Main responsibilities

Communication

•         Take dictation and quickly and accurately type documents

•         Prepare presentations;

•         Write correspondence, reports, newsletters and executive summaries

•         Make and receive calls on MD’s behalf

•         Communication between office and production staff.

Planning

•         Delegate work on the MD's behalf

•         Manage the MD to her agenda for the day/week

Meetings and Event

•         Meet and greet visitors upon arrival

•         Prepare papers for meetings

•         Organise and manage events/projects

•         Book, manage, and minute meetings

•         Attend events/meetings as the MD’s representative

•         Attend the weekly Production meeting on behalf of MD

Travel Arrangements

•         Make travel arrangements

•         Prepare complex itineraries

Financial

•         Manage a budget

•         Obtain and evaluate quotations

Research

•         Conduct internet research

•         Source suppliers and contractors

•         Make reports and overviews and brief MD on both internal and external matters.

Organisation

•         Maintain effective office filing systems

•         Manage projects

•         Supervise progress of tasks delegated to staff by MD and agreed actions are happening timely

Daily tasks

•         Open and distribute post to the relevant people

•         Help MD with personal tasks

•         Take and process orders

•         Various tasks helping general manager and production manager  and Answer the phone
