IT Lab is a national award-winning IT support and technology services provider delivering outsourcing, cloud, application and consultancy services based in London and Manchester.

Job overview:

We are looking for an apprentice to work with our primary receptionist, people and talent team as a Junior Talent Administrator.

Main role / Responsibilities [will include but not be limited to]:

- Meeting and greeting guests, providing refreshments and informing the appropriate staff of their arrival

- Ensuring meeting rooms are set up to a high standard and that guests needs are met during the meetings with refreshment top-ups, as well as ordering lunch where required

- Assisting in the meeting room calendar, rearranging room bookings where necessary

- Assisting the primary contact with the Building’s Managing Agent and Reception, ensuring a good working relationship and working with them to handle any issues in the building

- Liaising with contractors for maintenance and repair works, including electrical

- Managing the cleaning contract onsite and ensuring the standards set are kept, highlighting any areas that need attention

- Ordering cleaning supplies, stationary, kitchen consumables and general office equipment

- Maintaining the office tidiness and enforcing the Clear Desk Policy

- Assisting the social committee as required and ordering supplies and treats

- Order the weekly shops for breakfast, milk, tea and coffee

- Manage the building’s Access Cards, the security system, locker keys and request bike parking for staff

- Support Lauren Steele with Health and Safety related matters in the London Office

- Arrange travel and accommodation bookings for staff (via the travel in box)

- Organise incoming and outgoing post, and courier services

- Assisting the Fire Wardens, as required, in the event of evacuations, ensuring the office and communal areas are clear

- Send out communications to IT Lab London

In addition to assisting the head receptionist, the candidate will be working for the People and Talent team as a Junior Talent Administrator with the following duties:

- Recruitment Mailbox management (redirection emails, queries etc.)

- Test site maintenance (regular review of applications and rate accordingly for the relevant Lab Talent team member to process)

- Advertising of jobs

- Sending interview confirmation emails/Sending feedback prompts

- Referencing - obtaining references by sending emails and chasing referees

- Co-ordinating yearly work experience candidate selection and putting together work packs/schedules

- Co-ordinate the 3 monthly check-ins for allocated New Starters

- Answer phone calls and field appropriately

- Check technical certifications of engineers

- Attend regular team meetings

- Meet and greet interviewees and administer

- Strengths finders and Candidate surveys

- Be a point of contact for candidates from offer acceptance to start date

Desired qualification requirements:

Minimum 5 GCSE's at grade C & above or equivalent.

Working week: Monday-Friday,40 hours per week, General office hours are from 9:00am until 6:00pm - with 1 hour for lunch.[all details will be confirmed with the employer] Salary: £13,000 per annum
