Brief Overview of the Role

You will be confident in meeting, greeting and welcoming visitors to Head Office. Always professionally presented, giving great customer service to all visitors, directing them as appropriate as well as notifying staff of visitor arrival.

Vacancy Description

  • Answering inbound phone calls and transferring where applicable
  • Welcoming and greeting visitors
  • Make drinks (teas and coffees) for visitors and where applicable taking coats
  • Answering or referring enquiries
  • Directing visitors appropriately by maintaining employee and department phone directories
  • Manage security by following procedures, including logging visitors entering and leaving the premises
  • Own the reception area and kitchen break out area keeping it clean and tidy
  • Distributing (and where relevant opening) post, franking post and taking to the Post Office
  • Printing, copying and scanning as required
  • Dealing with all aspects of administration that are necessary to operate a successful Company
  • Booking meeting rooms internally and for visitors
  • Set up meeting rooms including tea/coffee/refreshments
  • Take ownership of ordering for Head Office (stationary, ink, Food and drink etc.)
  • Produce weekly and monthly reports
  • Complete project work in a timely manor
  • Liaising with the PA to the Directors in regards to ad hoc duties

Requirements and Prospects

Desired Skills

  • You must be computer literate and have a professional telephone manner
  • Good communication skills - both oral and written
  • Experience within an office environment would be advantageous but not essential
  • Be professional and client/customer focused at all times

Qualifications Required

5 A*-C GCSE's or a Level 2 qualification or equivalent.
